Policy – Appointments to Represent ACIPC on External Committees, Working Groups, and Panels
Purpose
This policy establishes a consistent and transparent approach for appointing ACIPC members to represent the College on external committees, working groups, panels, and similar bodies. The policy ensures that appointments are made in the best interest of the College, leveraging the expertise and engagement of members while upholding integrity and fairness.
Scope
This policy applies to all appointments of ACIPC members—whether executive, general, or associate—to represent the College in an official capacity on external bodies. This includes, but is not limited to:
- Government advisory committees;
- Professional association working groups;
- Industry panels or consultation groups;
- Collaborative research or policy development teams.
Policy Statement
ACIPC is committed to:
- Transparent and merit-based appointment processes;
- Equitable access to representation opportunities;
- Strategic alignment with the College’s mission, values, and priorities;
- Accountability and professionalism in external representation.
Appointments
Appointments may occur through two primary pathways:
Direct Appointment by the Board or EMC
The Board or Executive Management Committee (EMC) may directly appoint a representative to an external group in cases where:
- The request for representation is time-sensitive;
- The position requires specific strategic or executive representation;
- The required expertise resides within current leadership or designated positions;
- Continuity of existing representation is in the best interest of the College.
Appointment via Expression of Interest (EOI)
Where appropriate, the College will issue an open call for Expressions of Interest to ensure a broad and inclusive process. The EOI process will be used when:
- The external opportunity is open to a wider range of members;
- Broader expertise or perspectives are sought;
- There is sufficient lead time to conduct an EOI process.
Expression of Interest (EOI) Process
Calls for EOIs will be promoted via:
- The ACIPC website;
- Member newsletter (IPC News);
- Infexion Connexion; and/or
- Targeted emails communications.
The call will include:
- The name and purpose of the representative opportunity;
- The number and types of positions available;
- The expected time commitment and duration of appointment;
- Key selection criteria (skills, experience, knowledge);
- Application requirements;
- The closing date and method of submission.
Applicants must submit:
- A statement addressing the selection criteria (as outlined in the EOI);
- A brief current Curriculum Vitae (CV);
- Any other information requested in the EOI).
Late or incomplete applications may not be considered.
Selection Criteria
All appointments—whether direct or via EOI—will be based on:
- Relevant skills, knowledge, and experience;
- Capacity to represent ACIPC professionally and effectively;
- Alignment with the role’s requirements and ACIPC’s strategic priorities;
- Ability to commit time and meet expectations;
- Consideration of diversity and representation across the College membership.
Terms of Appointment
- Appointments will generally be for a fixed term, as defined by the external body or ACIPC’s needs;
- Appointees are expected to comply with any confidentiality, code of conduct, or conflict of interest requirements set by ACIPC and the external organisation;
- Reappointment or continuation is subject to consideration and approval by the EMC or Board.
Roles and Responsibilities of Appointees
Appointed representatives are expected to:
- Act in accordance with the College’s values and professional standards;
- Represent the views and interests of ACIPC—not personal or employer perspectives—unless otherwise agreed;
- Provide written reports to the EMC or Board within 10 business days of each meeting or significant engagement, using the standard reporting template;
- Alert the College to any emerging risks, issues, or opportunities arising from the external group.
Withdrawal or Termination of Appointment
An appointment may be concluded:
- By the representative, with written notice to the EMC or President;
- By the College, where participation is no longer required or if performance concerns arise;
- If the external organisation modifies or ends the role.
The decision of the Board or EMC in relation to termination will be final.
Review
This policy will be reviewed by the Board every two years or as required to ensure continued relevance and alignment with ACIPC objectives.
