Policy – Expression of Interests (EOIs) to Participate in ACIPC Committees, Panels, and Working Groups
Purpose
This policy outlines the procedures and principles guiding the call for and assessment of Expressions of Interest (EOIs) for participation in ACIPC committees, standing sub-committees, standing panels, and special working groups. The aim is to ensure a fair, inclusive, and transparent process that attracts the most suitable and diverse membership base for each opportunity.
Scope
This policy applies to ACIPC committees, standing sub-committees, and standing panels, and to special working groups where an EOI is deemed appropriate by the chair.
Policy Statement
ACIPC is committed to:
- Ensuring open and equitable access to committee, panel, and working group opportunities;
- Promoting diversity, inclusion, and representation across its governance and advisory structures;
- Establishing a clear, consistent process for issuing, reviewing, and selecting EOIs.
ACIPC encourages members with relevant skills, experience, or interest to engage in the College’s strategic and operational initiatives through active participation.
Expression of Interest (EOI) Process
Calls for EOIs will be promoted via:
- The ACIPC website;
- Member newsletter (IPC News);
- Infexion Connexion; and/or
- Targeted emails communications.
The call will include:
- The name and purpose of the committee, standing sub-committee, standing panel, or special working group;
- The number and types of positions available;
- The expected time commitment and duration of appointment;
- Key selection criteria (skills, experience, knowledge);
- Application requirements;
- The closing date and method of submission.
Applicants must submit:
- A statement addressing the selection criteria (as outlined in the EOI);
- A brief current Curriculum Vitae (CV);
- Any other information requested in the EOI).
Late or incomplete applications may not be considered.
EOI Selection Process
Assessment
EOIs will be review by
- The chair of the committee, standing sub-committee, standing panel, or special working group;
- Current members of the committee, standing sub-committee, standing panel, or special working group.
- Executive Management Committee (EMC) members; and/or
- The ACIPC Board.
Selection Criteria
Applicants will be considered against:
- Alignment with the role requirements and purpose of the group;
- Relevant experience, expertise, or qualifications;
- Demonstrated interest and capacity to contribute;
- Representation needs (e.g. geography, sector, experience level, diversity).
Appointments
Recommendations will be submitted to the Executive Management Committee (EMC) or the Board, as required, for final endorsement.
Successful applicants will be:
- Notified by email;
- Provided with the relevant Terms of Reference (TOR) outlining the group’s scope, responsibilities, and operation;
- Advised of relevant ACIPC policies and documentation.
Unsuccessful applicants will also be notified by email.
Appointment by the Board, EMC, or Committee Chair
Not all appointments to a committee, standing sub-committee, standing panel, or special working group will be through an EOI process. The Board, EMC, or a chair may nominate a member directly taking into account the experience, expertise, or qualifications required. The Board is required to endorse all external appointments to committees, standing sub-committees, or standing panels.
Terms of Appointment
- Appointments to committees, standing sub-committees, and standing panels is generally for 24 months, unless otherwise specified in the EOI.
- Appointments to special working groups are for the defined term of the working group as specified in the EOI.
Roles and Responsibilities of Appointees
Appointees are expected to:
- Actively participate in meetings and activities;
- Contribute constructively and professionally;
- Report any actual or potential conflicts of interest;
- Provide updates to the Executive Council or broader membership, where appropriate.
Review
This policy will be reviewed by the Board every two years or as required to ensure continued relevance and alignment with ACIPC objectives.
